Glossary

Bookkeeping

The day-to-day recording of a business's financial transactions in the books of account.

What it means

The systematic recording of financial transactions using the double-entry system, forming the basis from which financial statements are later prepared.

Example

Entering a cash sale in the cash book and the sales account is a bookkeeping task.

Why it matters

Accurate bookkeeping is the foundation of reliable accounts; errors here flow through to every statement.

In practice

Bookkeeping is the recording stage that feeds every financial statement. Transactions are entered from source documents into the books of prime entry. They are then posted to the ledger accounts using double entry, before a trial balance is drawn up.

For example, a RM300 cash sale is first noted in the cash book. It is then posted as a debit to the bank account and a credit to the sales account, so both sides of the entry agree.

Bookkeeping is different from accounting. Bookkeeping is the routine work of capturing and classifying data accurately. Accounting is the wider role of using that data to prepare final statements, interpret ratios and advise on decisions. A bookkeeper makes sure the RM300 is in the right accounts. The accountant later uses the totals to judge whether the business is profitable. Errors made in bookkeeping flow through to the income statement and the statement of financial position.
