Cambridge 0452 and 0985 · Topic 2
Sources and recording of data
Double entry, the ledgers, business documents and the books of prime entry.
About this topic
The engine room of the course. Business documents are where the information starts, and the books of prime entry are where it is first written down. Double entry records every transaction, and ledger accounts are where the balances build up. A student who is fluent here finds almost every later section easier.
What students must be able to do
The official syllabus lists a set of skills under each sub-topic. Here is each one in plain English, with a link to our guide.
2.1 The double entry system of book-keeping
Record transactions by double entry and post them to ledger accounts.

Both papers are based on all the subject content, so this topic can appear in either. For 2027 to 2029, Paper 1 has 40 multiple-choice questions, all compulsory in 1 hour 30 minutes (40 marks). Paper 2 has five compulsory questions of 20 marks each, based on stimulus material in 1 hour 45 minutes (100 marks).
The question verbs matter too. The syllabus lists command words such as calculate, explain, prepare and evaluate, and the marks on each part of a question tell you how much detail is expected.
Every statement starts from recorded transactions, so these skills sit underneath most Paper 2 tasks. The syllabus names completing a cash book and preparing journal entries among the tasks candidates may meet, and Paper 1 can test document and journal vocabulary.

Slips our teachers see most in this topic
These come from marking student work in lessons, not from the board.
- Posting a discount to the wrong side because the cash discount account is confused with trade discount.
- Balancing a ledger account without carrying the balance down, so the next period starts with no opening figure.
- Entering a petty cash reimbursement as a new expense instead of topping the imprest back up.
If these slips look familiar, a teacher can go through your child's answers on sources and recording of data and fix the habit behind each one. Book a trial class.
What changed between the 2026 and 2027 to 2029 syllabuses
- The double entry system of book-keeping: The 2027-2029 syllabus adds digital ledgers and says accounts may be shown in a three-column running-balance format. The 2026 syllabus states candidates do not need to explain or use three-column running-balance accounts. Folio columns are not required in either.
- Business documents: The 2027-2029 syllabus frames documents as produced and recorded manually or digitally. It drops the separate objective to complete pro-forma documents that appears in 2026.
- Books of prime entry: The 2027-2029 syllabus lists payments by cash, cheques, debit and credit cards, online and bank transfers. It adds the benefits and limitations of manual versus digital methods, and of holding cash at the business. The 2026 syllabus referred to bank transfers and other electronic means.
